The CNSA is seeking an Administrative Assistant to join our small (but mighty) team of staff and dedicated volunteers!

The Council of Nova Scotia Archives (CNSA) is a membership-based, professional association for archives and archivists in the province of Nova Scotia. The CNSA provides educational and advisory services and supports its members to strive for archival excellence in the care and use of documentary heritage. The CNSA office is located within the Nova Scotia Archives’ building in Kjipuktuk/Halifax, which is home-base for the CNSA’s full-time Archives Advisor and many of the Council’s activities. The CNSA staff also includes a part-time MemoryNS Support Specialist, who works remotely.

Under supervision of the Archives Advisor, the Administrative Assistant will perform general administrative tasks for the Council. This is a 12-month, part-time, contract position with the possibility of extension, which is anticipated to begin in February 2023. Although the hours are flexible, the Administrative Assistant can expect to work approximately 8 hours per week provided they do not exceed 400 hours total over the course of the contract.

The ideal candidate will be reliable, efficient, an excellent communicator, have ample administrative skills, and have some knowledge of archives and archival practice. While the Administrative Assistant is welcome to work from the CNSA Office, the successful candidate can choose to work remotely where possible – some of the work will require being on site. There is also the possibility of professional development in archival practice, funded by the CNSA.


  • Support the Archives Advisor in the planning and delivery of the CNSA’s courses, workshops, annual conference, and Committee meetings; 
  • Maintain the CNSA website, adding news, announcements, and registration/event pages for upcoming CNSA courses, workshops, and events;
  • In collaboration with the Archives Advisor, post news and announcements on the members-only listserv and social media channels;
  • In collaboration with the Archives Advisor, assist with managing active and semi-active Council records; 
  • In collaboration with the Member-at-large for Membership and Nominations, assist with membership renewals and maintain/update the CNSA membership list;
  • In collaboration with the CNSA Member-at-large for Communications and Awards, publish member profiles on the CNSA website;
  • Complete other projects as determined by the Archives Advisor and CNSA Executive.


  • Completed or enrolled in a post-secondary program, preferably in Administration, Records Management, and/or archival practice, or a combination of comparable skills and experience; 
  • Proficiency with Microsoft Office, principally Word and Excel;
  • Proficiency with Google apps (Google Docs, Sheets, Gmail, etc.) 
  • Excellent organization and communications skills; 
  • Efficient and reliable and able to keep track of use of time;
  • Comfortable juggling multiple tasks and projects simultaneously;
  • Able to take direction, work independently, and see projects through to completion.


  • Familiarity with WordPress and/or WooCommerce;
  • Experience with Google Workspace
  • Familiarity with the core archival functions and the basic needs of archives;
  • Familiarity with the heritage sector and/or the archival community in Nova Scotia;

DURATION: Approximately 8 hours a week for 12 months (400 hours total) with the possibility of extension.

LOCATION: Halifax, Nova Scotia, although some of the work can be done remotely.
