Institutional membership

An institutional member has voting privileges at the Annual General Meeting and is eligible to apply for project-focused government contribution programs. This membership category is open to Nova Scotian organizations housing materials with long-term archival value and who have the following:

  1. Written mandate. Approved by a governing body of the public authority or private organization in which the archives is a unit of responsibility.
  2. Policies:
    1. Acquisition Policy including acquisitions goals and scope of acquisition;
    2. Access Policy specifying any restrictions on access to records (including viewing and photocopying);
    3. Preservation Policy
  3. Designated individual. Accountable for the Archives operation who may be paid staff, volunteer or the responsibility for the archives can be part of another job description.  The individual should have either taken, or be pursuing basic training in archival practice.
  4. Secure, designated space. Adequately protected from degradation agents such as water, fire, light and extremes of temperature and humidity for storage and handling of records.
  5. Open hours. Equivalent to 1 day/week, may include by appointment hours.

At the Annual General Meeting May 5, 2011, members approved a fee increase for Institutional members. For the 2012-2013 year, the fees will be:

  • Eligible for funding assistance through government contribution programs.

  • Professional development and training through workshops or committee service.
  • Provides voice representing needs and concerns of archival community.
  • Qualify for awards (Dr. Phyllis Blakeley, Carman V. Carroll and Anna Hamilton awards).
  • Access to resources available for loan from CNSA office, such as books and equipment.
  • Networking through website, listserv, meetings, workshops and seminars.
  • Discount with Carr-McLean archival supplier.

General membership

Accorded to institutions that are interested in archives or house archival material but are unable to meet the institutional requirements.  General members are granted all rights except for voting privileges at the AGM and making application for Canadian Council of Archives grants.

Fee: $50 annually

Benefits:

  • On-site, phone and email consultation with CNSA Archives Advisor.
  • Participation in Archway.
  • Professional development and training through workshops or committee service.
  • Provides voice representing needs and concerns of archival community.
  • Qualify for awards (Dr. Phyllis Blakeley, Carman V. Carroll and Anna Hamilton awards).
  • Access to resources available for loan from CNSA office, such as books and equipment.
  • Networking through website, listserv, meetings, workshops and seminars.

Individual membership

Available to persons working in or interested in archives and who support the aims and objectives of the CNSA. Individual members receive all publications, information and services, but are not accorded voting privileges at the Annual General Meeting.

Fee: $50 annually

  • Limited phone and email consultation with CNSA Archives Advisor.
  • Professional development and training through workshops or committee service.
  • Access to resources available for loan from CNSA office, such as books and equipment.
  • Networking through website, listserv, meetings, workshops and seminars.
  • Discount with Carr-McLean archival supplier.

Student membership

Available to persons enrolled in post-secondary education programmes and have an interest in archives. Student members receive all publications, information and services, but are not accorded voting privileges at the Annual General Meeting. Valid student ID must be presented to qualify for student membership.

Fee: $25 annually

  • Professional development and training through workshops or committee service.
  • Access to resources available for loan from CNSA office, such as books and equipment.
  • Networking through website, listserv, meetings, workshops and seminars.
  • Discount with Carr-McLean archival supplier.

Honourary membership

This category of membership is appointed by the CNSA Executive.  These members are treated as individual members.

Fee: waived
